Office Administrator

Serenity Surgery & Wellness is seeking an Office Administrator to efficiently manage our administrative tasks. This includes scheduling appointments, ensuring the confidentiality of patient information, overseeing billing processes, and coordinating patient care. The ideal candidate will have excellent communication skills, a thorough understanding of healthcare operations, and the capacity to efficiently manage multiple tasks.

Tasks and Responsibilities


  • Guide staff and oversee office procedures execution.
  • Manage patient information and maintain confidentiality.
  • Utilize tools such as QuickBooks, Square, and Google Sheets.
  • Handle billing tasks, including accounts payable/receivable and payment collection.
  • Coordinate with vendors, service providers, and manage purchase orders.
  • Support the team with employee onboarding/offboarding.
  • Foster a supportive environment for patients and staff through effective communication.
  • Promote patient education on breast cancer and cryoablation using various resources.
  • Maintain an informative online presence for patients and providers.
  • Handle phone inquiries and schedule appointments.
  • Ensure accurate patient data collection using the internal tool.
  • Oversee inventory and order medical supplies, including probes.
  • Schedule surgeries and coordinate care with healthcare providers.
  • Manage financial tasks, including bill payments, sending estimates, and reconciling accounts.

Qualifications


  • High school diploma required; Associate's or Bachelor's degree in Business Administration or related field preferred.
  • Experience in medical office administration, with proficiency in Google Workspace and scheduling software.
  • Strong organizational, leadership, and communication skills.
  • Knowledge of breast cancer care, and patient advocacy.
  • Ability to work both independently and collaboratively.
  • Excellent multitasking and prioritization skills with attention to detail.

Medical Assistant

Exciting, unique opportunity for a medical assistant who is interested in working with an experienced, innovative breast surgeon who truly cares about the patients in our community. Office hours that allow you to have an optimal work-life balance.


Perform clinical duties under the direction of a physician. Duties may include taking and recording vital signs and medical histories, preparing patients for examination, including contacting other physicians’ offices for records, assisting the physician during in office procedures, and administering medications as directed by the physician.  


Proof of COVID-19 vaccination is required.

Tasks and Responsibilities


  • Prepare treatment rooms for patient examinations, keeping the rooms neat, clean and stocked.
  • Show patients to examination rooms and prepare them for the physician.
  • Interview patients to obtain medical information and measure their vital signs.
  • Record patients' medical history, smoking status, vital statistics, or information such as test results in electronic medical records.
  • Assist the physician with procedures in the office. Understand sterile protocol and how to deal with hazardous waste. Clean and sterilize instruments.
  • Collect tissue or other laboratory or pathology specimens, log the specimens, and prepare them for testing, including preparing them for pick up.
  • Keep medical office supplies adequately stocked by anticipating inventory needs, reporting to the physician any needs and monitoring office equipment.
  • Perform general office duties, such as answering telephones or completing FMLA and work excuse forms. Know how to schedule patient appointments, if necessary.
  • Obtain items such as imaging films/reports and laboratory results to assure that charts are complete.
  • Call other physicians' offices to obtain medical records or to discuss patient care.
  • Log all communications pertaining to patients in electronic medical record software.

Intern

Are you a graduated or soon graduating pre-med or pre-health student looking for some experience before you start medical or PA school? Are you ready for a unique opportunity where you could work with an experienced, innovative breast surgeon who is passionate about education?    


You will learn


  • How a medical practice runs
  • How to use an Electronic Medical Record (EMR)
  • How to care for and interact with patients with breast cancer
  • Sterile technique
  • How to assist in-office procedures


Your commitment would be as little as one full work day a week to start. If possible, this may increase over time, but is not a necessity. You simply have to be highly motivated and eager to learn–we will teach you the rest.
